XLSX versus older XLS and why the format matters

The older XLS format used by Excel through version 2003 was a proprietary binary format. Reading or writing XLS reliably required Microsoft's own Office libraries or reverse-engineered third-party implementations that often produced corrupt files when used with non-trivial content. XLSX replaced XLS with a documented, open standard called Office Open XML, which is essentially a zip archive of XML files describing the workbook structure. This open structure made it possible for libraries like SheetJS, Apache POI, and openpyxl to read and write Excel files with high fidelity from any programming language. FixTools uses SheetJS in your browser to produce XLSX output that opens cleanly in any modern spreadsheet application.

Choosing XLSX over CSV for PDF-extracted data has real practical benefits. CSV cannot represent multiple sheets, cell formatting, formulas, or merged cells, which means a CSV conversion flattens multi-section reports into one undifferentiated grid. XLSX preserves all of these structural features. If your source PDF has a summary on page one and a detail table on pages two through five, the XLSX output can place each on its own sheet, with the navigation tabs at the bottom of the workbook. CSV would force you to either lose one of the tables or paste them end-to-end and lose the visual separation.

XLSX also supports number formatting hints that CSV lacks entirely. When FixTools detects that a column contains currency values, percentages, or dates, it can apply matching number formats to the output cells so that the workbook opens with $1,234.56 rather than 1234.56 and 12/31/2024 rather than 45657. This pre-formatting saves manual cleanup time when you open the file and want to start analysing immediately. The underlying values stored in the cells are always the raw numbers, so any calculations you add afterwards work correctly regardless of display format.

Compatibility across applications is broad. Excel 2007 and later open XLSX natively. Google Sheets imports XLSX with full fidelity for cells, styles, and basic formulas. Apple Numbers reads XLSX and converts to its own .numbers format on save. LibreOffice Calc and OpenOffice Calc handle XLSX as a first-class citizen. Mobile spreadsheet apps including Microsoft Excel for iOS, Google Sheets for Android, and Numbers for iPad all open XLSX. The format has become the universal interchange standard for tabular data, which is why every modern PDF-to-spreadsheet tool defaults to XLSX rather than the older XLS or the more limited CSV.

How to use this tool

💡

Upload your PDF, confirm the detected table regions, and convert directly to a standards-compliant XLSX workbook ready for Excel, Google Sheets, or Numbers.

How It Works

Step-by-step guide to pdf to xlsx converter:

  1. 1

Open the PDF to XLSX tool

Navigate to the FixTools PDF to Excel page in your browser. The tool loads as a standard web page and is ready to accept your file the moment the page finishes loading. No installation, no plugin, and no sign-up step blocks your access to the conversion functionality.

  2. 2

    Upload the PDF

Click the upload area or drag your PDF file onto the page. The file is read into browser memory locally without travelling to any server. You will see a preview of the first page within a second or two depending on document size, which confirms the file loaded correctly and is ready to process.

  3. 3

    Adjust table detection if needed

The tool highlights detected table regions on the page preview. If a column boundary line is in the wrong place, drag it left or right until it matches the visible gap between columns. If a row of running text was incorrectly identified as a table row, click to exclude it from the extraction. Most reports require no manual adjustment because auto-detection is accurate on well-structured PDFs.

  4. 4

    Convert and download XLSX

Click Convert to XLSX. The tool processes each page and writes a SheetJS-generated workbook with proper XLSX structure including shared strings, styles, and sheet references. The resulting file downloads automatically. Open it in Excel, Google Sheets, or Numbers to verify the contents match your source PDF before doing any further analysis or sharing.

Real-world examples

Common situations where this approach makes a real difference:

Consultant building a comparative analysis workbook

A management consultant collects pricing PDFs from five competitors and needs to build a side-by-side comparison in Excel. Converting each PDF to XLSX preserves the original column structure of each price list, which the consultant then references from a master workbook using sheet links. The XLSX format supports the cross-sheet formula references needed for the comparison, which would not be possible with a flat CSV export.

Accountant feeding ERP imports

A small-business accountant receives bank statements as PDFs and needs to import them into QuickBooks Online, which accepts XLSX uploads natively. Converting each statement to XLSX with column headers matching QuickBooks expectations means the import succeeds on first attempt with no field-mapping friction, where a CSV would have required column reordering and date format reformatting before the import would accept the file.

Operations team building KPI dashboard

An operations team consolidates monthly production reports from three plants, each delivered as a PDF. Converting each plant report to XLSX with multiple sheets per file preserves the structural separation between throughput, downtime, and quality tables. The team can then link a master dashboard workbook to specific sheets in each plant file without flattening or losing the meaningful section breaks.

Lawyer extracting trial exhibits to a working file

A litigation paralegal receives trial exhibit lists as PDFs and needs to load them into a master XLSX trial-prep workbook with one sheet per exhibit category. Converting each PDF to XLSX preserves the original exhibit numbering format, including leading zeros and dash-separated identifiers, which is critical for accurate citation in motion drafts where any digit transposition could weaken an argument or require an errata.

Pro tips

Get better results with these expert suggestions:

1

Open XLSX output in Excel first to verify formatting

Excel applies the strictest interpretation of the XLSX standard, so any structural issue in the file will surface there before it shows up in more forgiving readers. Open the converted XLSX in Excel, scroll through every sheet, and verify cell formatting matches your expectations. If the file opens cleanly in Excel it will also open cleanly in Google Sheets, Numbers, and LibreOffice Calc, which is useful when you need to share with collaborators on different platforms.

2

Use Google Sheets for collaborative review

After conversion, upload the XLSX to Google Drive and open it as a Google Sheet for any review involving multiple collaborators. Comments, suggestions, and revision history work better in native Sheets than in shared XLSX files. When the review is done, you can download the Sheet back to XLSX format with all comments preserved as cell notes, ready to archive alongside the original source PDF.

3

Preserve number formats by checking column types

After opening the XLSX, select each numeric column and look at the Number format dropdown on the Home tab. Currency columns should show Accounting or Currency, percentages should show Percentage, and dates should show a date format. If a column shows General when it should be Currency, the detection missed and you can apply the correct format manually to all cells in one operation rather than reformatting cell by cell.

4

Save as XLSM only if you add macros

XLSX does not support macros. If after conversion you want to add VBA automation, save the file as XLSM instead. Excel will prompt you when you try to record or paste a macro into an XLSX. Avoid saving back to the older XLS format because that strips modern features like multiple conditional formats per cell and loses the structural advantages that made XLSX the standard interchange format in the first place.

FAQ

Frequently asked questions

XLSX is the modern Excel file format based on Office Open XML, introduced with Excel 2007 and now the default for all current Excel versions. XLS is the older binary format used through Excel 2003, which has limited maximum row counts, no support for modern features like multiple conditional formats, and a proprietary binary structure that makes it harder for non-Microsoft tools to read reliably. FixTools outputs XLSX because it is the universal interchange standard and works in every modern spreadsheet application including Google Sheets and Apple Numbers.
Yes. Google Sheets imports XLSX with full fidelity for cells, styles, formulas, and multi-sheet structure. Upload the converted file to Google Drive, right-click and choose Open with Google Sheets, and the file converts to native Sheets format for editing. You can later download it back to XLSX with no data loss. This makes XLSX an ideal format for any workflow that mixes Excel desktop users with Google Sheets cloud users.
Yes. If your source PDF contains multiple distinct tables in different sections, FixTools writes each table to its own sheet in the output XLSX. Sheet tabs at the bottom of the workbook let you navigate between extracted tables. This is one of the main advantages of XLSX over CSV, which can only hold one table per file and forces you to either lose data or paste sections together when converting multi-section reports.
No. When the original spreadsheet was exported to PDF, formulas were replaced by their computed values. The PDF stores only the final numbers, not the formulas that produced them. FixTools extracts those computed values to XLSX as static numbers. If you want formulas in your output workbook, recreate them by typing =SUM, =AVERAGE, or =VLOOKUP into appropriate cells after opening the XLSX in Excel. The static numbers in totals rows are a useful reference for verifying that recreated formulas produce matching results.
Yes, where the converter can detect the type from context. Currency symbols, percentage signs, and date patterns in the source PDF cells signal what number format to apply. The converter sets these formats in the XLSX so the workbook opens with values displayed appropriately. Underlying cell values are always raw numbers, so any calculations you add work correctly regardless of display format. If a column was misdetected, change the format manually via the Number group on the Home tab.
Yes. The XLSX output is a fully editable Excel workbook with no read-only protection, no password, no DRM, and no FixTools branding. Open it in any spreadsheet application and edit cells, add formulas, insert columns, apply conditional formatting, build charts, and save back as XLSX or any other supported format. The file is identical in capability to a workbook you would create from scratch in Excel.
For most cases yes. XLSX preserves multiple sheets, cell formatting, formulas you add later, and merged-cell structure where it makes sense. CSV is plain text and supports only one flat table with no formatting. Use XLSX when your destination is Excel, Google Sheets, Numbers, or any business application that accepts modern spreadsheet imports. Use CSV only when feeding text-only pipelines like scripted database imports or when the receiving system explicitly requires CSV.
XLSX supports up to 1,048,576 rows and 16,384 columns per sheet, which is far larger than typical PDF source tables. Practical performance starts to degrade in Excel around 100,000 rows per sheet on average laptops. If your converted file approaches that scale, consider splitting into multiple sheets or moving the data into a database. For typical business reports of a few hundred to a few thousand rows, XLSX handles the volume comfortably with no performance concerns.
